Running a small business is challenging. It often means doing multiple jobs at once, limited resources, and difficulties balancing growth and quality. But there’s a different way—getting a chatbot, a powerful tool that will help you free up resources by automating communication with customers without compromising their experience.

Chatbot can become your best worker, handling multiple tasks and providing customer service 24/7 while saving you costs on hiring extra staff. Read on to learn how your small business will benefit from a chatbot, what jobs it can do, and how to pick the best chatbot for a small business and use it to its full potential.

## 5 reasons for small businesses to use chatbots

### 1\. 24/7 availability

Chatbots provide round-the-clock, accurate customer service. No more lost opportunities due to different time zones or limited work hours.

### 2\. Automated lead generation and qualification

Your chatbot can gather prospects’ information and filter high-quality ones. With repetitive tasks automated, you and your sales team can focus on promising leads.

### 3\. Improved customer satisfaction

Your customers expect prompt communication, and that’s where business chatbots shine. Whether it’s a question, a request for an order status update, or an ask for help, a chatbot can address it instantly. Timely communication lowers frustration and contributes to a better customer experience.

### 4\. Cost savings

A sufficient customer support team can be a budget buster for small businesses. The most cost-savvy way to provide excellent customer service is to use a chatbot. Let the bot handle straightforward and repetitive inquiries and redirect customers to human agents for a more personalized touch when necessary.

### 5\. Data insights

Your chatbot can collect customer data for you to better understand your audience and their needs. Also, actual chats with your bot are a goldmine of insights. Use them to create more relevant marketing campaigns and make smarter, data-driven decisions.

## Types of chatbots for small business

Depending on your business needs, you may opt for a rule-based and an AI-powered chatbot.

### Rule-based chatbots

A rule-based chatbot is a computer program that operates according to a specific set of instructions. It responds based on keywords or triggers. Simply put, such a bot matches customer inquiries with predefined answers from its database.

If you need to handle routine tasks and answer simple questions, rule-based chatbots are your go-to.

### AI-powered chatbots

These are more effective bots that use artificial intelligence (AI), machine learning (ML), and natural language processing (NLP). These technologies allow bots to interact with users in a more conversational and flexible way. Unlike rule-based chatbots that follow clear instructions, AI-powered chatbots understand context, learn from interactions, and adapt their responses over time. They can handle more complex queries and even recommend products based on customer preferences and behavior.

If you're looking to provide a more personalized and engaging customer experience, opt for an AI-powered chatbot.

## Practical use cases for small business chatbots

Whether a customer is curious about your product's features, pricing, or how your shipping policies work, chatbots are there to provide the answers in no time. Thus, your human agents don't delve into minor issues and can focus on more complex tasks.

Though customer support and answering FAQs are primary use cases, your bot can do more.

### 1\. Book appointments

If you run a service-based business, your chatbot can handle appointments. It will find and show available slots to your customers, book appointments, and send confirmations, all automatically.

### 2\. Communicate on your social media and messengers

Social media are an important marketing and communication channel for small businesses. However, they may take too much of your time. Luckily, your bot can handle your social media for you. Use it to [automate communication in Facebook Messenger](https://chatfuel.com/facebook/), WhatsApp, or Instagram Direct. A bot can also automatically reply to comments, react to tags in stories and posts, and direct incoming inquiries to human agents if needed.

Setting up your chatbot is quite simple. For instance, here's a video explaining how to configure your bot to manage all incoming inquiries on WhatsApp.

### 3\. Qualify leads

Accurate lead qualification is equally important and time-consuming. With a chatbot qualifying your leads you focus on the most promising potential customers carefully selected based on the pre-set criteria.

### 4\. Provide personalized product recommendations

E-commerce businesses can leverage a bot's capability to offer personalized recommendations to customers based on their preferences and behavior.

### 5\. Recover abandoned carts

Another handy skill of e-commerce chatbots. To lower your cart abandonment rate, make your bot send automated reminders to encourage customers to complete their purchases. Some [e-commerce chatbots](https://chatfuel.com/blog/best-ecommerce-chatbots-that-can-boost-your-business/) also integrate with third-party payment providers like Stripe allowing customers to pay directly in the chat.

### 6\. Collect feedback

A chatbot can also contribute to your understanding of what your customers think and want. They can engage customers in conversational surveys, polls, or feedback forms, helping you identify areas for improvement and make informed decisions, thereby improving the overall customer experience.

## How to choose the right chatbot for your small business

Choosing the right chatbot for your small business can seem overwhelming. Here's a brief overview of what to consider.

### Features

Think about what you need your chatbot to do. Schedule appointments, capture leads, answer FAQs, collect customer feedback? Maybe, all together? Whatever it is that you need, make sure your chatbot can deliver. Prioritize features that will boost customer engagement and make running your business easier.

### Ease of use

If you don't have resources for coding, choose a code-free chatbot platform. These platforms are typically user-friendly and understandable, even for those with limited technical skills. The best option would be a platform that makes creating, launching, and managing your chatbot simple and intuitive—like Chatfuel.

### Integrations

Make sure your chatbot integrates with the other software you already use. It can be customer relationship management (CRM) systems, email marketing platforms, e-commerce platforms, and others. Seamless integration means a more efficient workflow and omni-channel automation.

### Pricing

Picking the bot provider that fits your budget and business goals, watch out for hidden fees like usage limits and additional charges for advanced features.

Keeping these four factors in mind, you can find the perfect AI chatbot for small business.

## Best practices for implementing chatbots in your small business

### Set clear expectations

Let your users know they're chatting with a bot from the get-go. This not only prevents awkward moments but also helps manage expectations about what your chatbot can and can't do.

### Give your chatbot some personality

Your chatbot is an extension of your brand, so make sure it sounds like it. Whether your brand voice is friendly, professional, or casual, your chatbot's language and responses should mirror that. This helps to keep the user experience consistent and on-brand.

### Offer human handover

Chatbots are super handy, but there will be times when a human touch is needed. Make sure your customers can switch from bot to human agent if their query needs that extra bit of attention.

### Monitor and optimize

Monitor the bot's performance and keep track of metrics like response times, user satisfaction, and conversion rates. Use this data to fine-tune your chatbot's responses and improve its accuracy over time. Just like us, chatbots can learn and improve. Continuous optimization keeps your chatbot effective and aligned with business goals.

6 ways of how to use chatbot for small business

Shipping is a critical part of the buyer journey. It can be a source of either delight or frustration, affecting your customer's satisfaction and eventually your revenue.

### The key factors spoiling customers’ experience at the shipping stage

- **Uncertainty in the delivery process**, when customers are unsure about the location and status of their orders after they've been dispatched.

- **Inefficient tracking systems** which often require customers to actively check websites or emails.

- **Customer post-purchase anxiety**, when customers feel left in the dark about their order's delivery status.

The solution is to set up automated notifications that inform customers through WhatsApp whenever their shipment status changes.

### With automated notifications in place, you can:

- **Keep customers up-to-date** on their order status directly via WhatsApp, their frequently used messenger.

- **Improve post-purchase experience** by keeping customers updated and reducing anxiety associated with delivery waiting.

- **Build trust and confidence in your brand** by demonstrating transparency and reliability in the delivery process.

- **Reduce customer support queries** regarding delivery status, freeing up resources for more complex issues.

- **Use delivery updates to re-engage customers** by requesting feedback or promoting related products.

- **Increase customer satisfaction and foster brand loyalty** through regular and reliable communication.

Does that match your vision of a perfect customer experience at the shipping stage? Read on to learn how to set up WhatsApp shipping status updates in 2 steps.

> Before you start, make sure you’ve [connected your Shopify store to Chatfuel](https://docs.chatfuel.com/en/articles/8459149-how-to-connect-a-shopify-store) and [set up your checkout page](https://docs.chatfuel.com/en/articles/8459417-how-to-set-up-a-checkout-page-in-shopify). Otherwise, you won’t be able to send any notifications.

## Set up shipping status updates in 2 steps

Please note that each shipment status necessitates a separate template: **On its way, Out for delivery, Delivered, or Attempted delivery.** By following the steps below, you'll create a notification for the **On its way** shipping status. To cover the rest of the statuses, you’ll need to create corresponding templates following the same process.

### Step 1. Create a message template in WhatsApp Manager

Open [WhatsApp Manager](https://business.facebook.com/wa/manage/home) and click on **Manage message templates.** You'll be redirected to Message templates.

The order confirmation message is an often underestimated touchpoint. Meanwhile, it’s a simple opportunity to increase customer loyalty and encourage them to come back for more purchases.

Here's how merchants can unintentionally ruin the post-purchase experience:

- **Send delayed order confirmations or don’t send them at all** leaving customers feeling uncertain after placing an order.

- **Communicate via inefficient communication channels** like email which customers might not check frequently.

To eliminate these factors negatively affecting buyer experience you can send automated order confirmations via WhatsApp.

## Your gains from automated order confirmations

- **Higher customer satisfaction and reduced post-purchase anxiety** due to instant order confirmation via WhatsApp.

- **Enhanced customer engagement** in the messenger that customers frequently use and check.

- **Increased trust and transparency** due to real-time updates on order processing and shipping.

- **Reduced customer service queries** related to order confirmation and status.

- **Opportunities for additional sales** by suggesting related products or offering discounts on future purchases.

- **Build long-term customer relationships and encourage customers to repeat business** by keeping them informed and engaged.

High Shopify website traffic doesn't necessarily yield a significant number of leads. Common mistakes that prevent converting visitors into leads include:

-   using inefficient, often ignored lead capture methods like email sign-up forms;

-   low engagement with website visitors, which leads to missed opportunities for conversion and customer relationship building;

- reliance on less personal and direct marketing channels, which can be ineffective in reaching and engaging customers.

You don’t have to lose opportunities and watch potential customers leave. Instead, try automating lead generation and engagement using Shopify + Chatfuel automation for WhatsApp.

Watch the video below on connecting your Shopify store to WhatsApp, and follow the [Chatfuel YouTube channel](https://www.youtube.com/channel/UC1_z5c5UnMJ0waRJ8Bx1cFg) for more insights and tutorials.

The post-purchase experience is a critical part of the buyer journey. With anticipation for their upcoming delivery, customers often send numerous inquiries about their order status, shipping details, and more. This stage can be a source of either delight or frustration, affecting your customer's satisfaction and eventually your revenue.

### The key factors spoiling the post-purchase experience

## Set up answers to post-purchase inquiries in two steps

Please note that each shipment status necessitates a separate template: **On its way, Out for delivery, Delivered, or Attempted delivery.** By following the steps below, you'll create a notification for the **On its way** shipping status. To cover the rest of the statuses, you’ll need to create corresponding templates following the same process.

### Step 1. Create a message template in WhatsApp Manager

Open [WhatsApp Manager](https://business.facebook.com/wa/manage/home) and click on **Manage message templates.** You'll be redirected to Message templates.

## 5 ways to automate a Shopify store

### 1\. Enable ChatGPT-driven customer service

Communicating with customers is time-consuming. You can automate it with a ChatGPT-powered chatbot to save a significant amount of time. A chatbot can answer frequently asked questions, provide order and shipping updates, gather feedback, and do many other things. It also contributes to the better buyer journey by enabling instant support.

### 2\. Set up abandoned cart recovery

On average, 7 out of 10 carts are abandoned. This happens for a variety of reasons, but the main thing is that with the help of Shopify automations, some potential buyers can still be brought to payment. For example, with the help of re-engagement messages reminding about a forgotten purchase.

### 3\. Offer personalized product recommendations

You can increase the average check and upsell with automated personalized recommendations. Here's how it happens: AI analyzes the items viewed, added to the cart, or purchased by a customer. It also analyses time spent on product pages. Based on this data, it suggests products that the customer might like.

ChatGPT is an advanced language model capable of imitating human interaction and generating responses based on human text-based inputs. It’s ideal for eCommerce platforms and such marketplaces as Shopify to help brands provide unique content for product descriptions, meta descriptions, customer support messages, and more. ChatGPT for Shopify helps store owners get a competitive edge and boost customer satisfaction.

## What is the ChatGPT Shopify app?

Since its release, ChatGPT has been seeking a way to improve people’s lives by taking away a load of tedious tasks, including communication with customers. Being able to understand and analyze natural language ChatGPT is an ideal sales assistant who is restless, available round-the-clock, and extremely resourceful.

There are many ChatGPT Shopify chatbots available for integration. These are ChatGPT models trained to serve eCommerce goals.

## ChatGPT Shopify apps use cases

### Chatbot and customer support

ChatGPT is an ideal tool to provide accurate, detailed, and swift answers to customers. While the Shopify chatbot helps customers with order details, returns, and shipping, customer support staff can concentrate on more elaborate tasks and address intricate customer service problems.

ChatGPT remembers the previous communication with the customer and builds on it. Working across several databases, tracking customer behavior online, and analyzing spending patterns helps ChatGPT provide relevant product recommendations to Shopify store customers. Modern models of ChatGPT are capable of understanding subtle intricacies of the language and provide human-like responses. Also, such models can be trained to talk with a specific personality that business owners set up: engaging and friendly, for example.

### SEO-optimized product descriptions

ChatGPT for Shopify can be used for product descriptions. One of the biggest pluses of this chatbot is that it can provide brand-consistent descriptions. Prompt ChatGPT with the brand and product details, add examples of brand-tone texts, and enjoy the result. ChatGPT can easily and instantly translate product descriptions into multiple languages. Shopify chatbots can be also used to analyze competitors’ product descriptions and reveal their content secrets. Using SEO-optimized product descriptions generated by ChatGPT contributes to increased sales and brand visibility.

### Feedback and product review analytics

ChatGPT and Shopify are good matches for reviews and feedback analytics. After some minor training, the Shopify chatbot can analyze even the sentiment and determine if the feedback or review is neutral, negative, or positive. Also, ChatGPT can save tons of working hours to generate summaries of product reviews, visualizing them in graphs or charts, etc. Having such deep analytics, your business marketing team can be more resourceful in making the right decisions regarding brand online visibility.
